About the Position

Located in our office in Downtown Vancouver – the Volunteer Coordinator position is a 12-week full-time contract position, June 5 to August 25, 2017, that is responsible for recruiting and managing our fabulous team of VQFF volunteers, including folks who are trans and gender non-conforming, people of colour, people with disabilities, indigenous people, newcomers to Canada, international students, and allies.

Accountability:

Reports directly to the Operations & HR Coordinator.

Responsibilities of the Volunteer Coordinator include:

Coordination:

  • Recruit, train, coordinate, supervise, and support 250+ LGBT2Q+ & allied volunteers under the supervision of the Operations & HR Coordinator. Recruitment will include outreach to diverse network of Community Partners including ESL schools, and outreach at community events

Training:

  • Conducting volunteer orientation sessions, ensure volunteers are trained on relevant community event and Festival duties (including front of house and customer service), community service, accessibility practices, and sexual orientation and gender identity

Scheduling:

  • Responsible for creating, maintaining and filling online volunteer database schedule based on an assessment of the organization’s needs. Ensure Accessibility Volunteers scheduled for each screening

Collaboration:

  • Creating a strategy and work plan that is shared with and includes other team members
  • Support the distribution of Festival materials

Festival:

  • Assisting Front of House team and at parties and events, supervising and managing volunteers
  • Foster a fun and organized environment that enhances the festival experience

Post-Festival:

  • Hosting volunteer appreciation event, produce a final report

General Duties:

  • Update and fulfill the milestones set out in the central timeline
  • Attend bi-weekly Festival Staff Team meetings
  • Keep easily accessible records of all work to ensure organizational continuity
  • Communicate regularly with the entire Festival team, ensuring all are apprised of on-going tasks

Qualifications:

  • Meet Canada Summer Jobs eligibility (aged 15-30, full-time student in previous academic year and intend to return to school full-time in the next academic year)
  • Outgoing; exceptional interpersonal communication skills
  • Organized self-starter with an eye for detail
  • Ability to work independently in a fast-paced, results-oriented work environment
  • Experience in event coordination and/or team leadership
  • Sense of humour a must
  • Must have valid BC driver’s license (and access to own vehicle is a definite plus).

Mileage is reimbursed

  • Seasonal position with dates June 5 to August 25
  • Full-time based on 37.5 hours per week
  • Compensation of $20.16 per hour plus vacation

Located in our office in Downtown Vancouver – the Community Box Office Assistant position is a 10-week part-time (0.8 FTE) contract position, June 19 to August 25, 2017, that works with the Box Office Coordinator to ensure all ticketing for the festival works smoothly and efficiently with a focus on community tickets and partners and accessible ticketing.

Accountability:

Reports directly to the Operations & HR Coordinator.

Responsibilities of the Community Box Office Assistant (Box Office Assistant) include:

Ticketing:

  • Support the Box Office Coordinator with all box office tasks including tracking tickets and passes, fulfilling comp ticket requests, compile Will Call lists, assist with preparation of daily box office forms and reports, handle ticketing queries from the public

Community Ticketing & Partners:

  • Work with our Community Events Coordinator and Volunteer Coordinator to increase accessibility and to fulfill our commitment to free tickets to LGBTQ and local community groups

Accessibility:

  • Oversee our honour-based discounted tickets aimed at youth, seniors and the underemployed including our recent Youth 6-pack initiative. Assist patrons without internet access to purchase tickets

Community Events:

  • Fulfill ticketing requests for sale at local community events, train outreach team on ticketing processes

Festival:

  • Assist with front-of-house duties during the Festival

Post-Festival:

  • Produce a final report

About the Position

Located in our office in Downtown Vancouver – The Artist Liaison & Guest Relations Coordinator is an 8-week full-time contract position, July 3 to August 25, 2017,  that works with the Festival Programming Coordinator under the direction of the Artistic Director and is responsible for artist travel and accommodation, artist and performer hospitality, panel and talk back coordination, ensuring an accessible Festival, Festival activity reporting, and supporting other team members with administration of film bookings.

Reports directly to the Artistic Director.

Responsibilities of the Artist Liaison & Guest Relations Coordinator include:

Artists Liaison & Guest Relations:

  • Coordinate and compile all festival artist biographical and travel profiles
  • Coordinate Artists’ Festival Passes and the VIP Artists’ mail-out
  • Hospitality Lead: Coordinate logistics for artists receptions, networking events and volunteers
  • Coordinate hospitality for visiting guests: assist with meet-and-greet receptions, activities and compile gift bags
  • Manage travel needs for visiting filmmakers; including rides to and from airport, hotel bookings, arranging billeting as required and helpful information for visitors to Vancouver
  • Coordinate festival accreditation for film industry professionals: send out invitations, confirm guests and assist with travel arrangements as necessary
  • Coordinate logistics and guests for panels and artist talkbacks

Reporting:

  • Document details of all performances and outreach presentations during the Festival that include artists
  • Document all presentation partners (community partners, educational institutions etc.)
  • Maintain accurate and up to date records of all artists with detailed information about visiting artists and hospitality activities, including budgets
  • Generate and report out on statistics on artists involved with the Festival
  • Prepare final report
